Amatra Care is a voice assistant for geriatric care managers, made by Amatra ("we", "us"). This policy explains what information Amatra Care collects, how we use it, who we share it with, and the choices you have. If you have any questions, email us at support@amatra.app.
Early testing. Amatra Care is in early testing. We have not yet put in place the agreements that the Health Insurance Portability and Accountability Act (HIPAA) requires for protected health information. Until we announce otherwise, please use Amatra Care only with sample or de-identified information, not with real client health information.
Who this policy covers
Amatra Care is used by care managers ("you"). You may enter information about your clients and their family members. You are responsible for having the right to record and share that information, and for telling your clients and their families about how you use Amatra Care where that is required.
Information we collect
Your account and practice
Your name, email address and password; your practice name, address, phone number and logo; your billing settings, such as hourly rates, billing increments, mileage rates, fees, invoice terms, payment instructions and, if you choose to add it, your Tax ID.
Client records you create
Your clients' names, ages and addresses, and the names, relationships, email addresses and phone numbers of family members or other contacts you add.
Voice recordings and what is drafted from them
When you tap Talk, use the visit timer, or fill in a client by voice, Amatra Care records what you say. We turn the recording into a written transcript and use it to draft visit notes, family updates, tasks, appointments, time entries and expenses. Amatra Care records only what you choose to say to it. It does not record your visits or phone calls.
Billing records and invoices
The time entries, expenses and invoices you approve, including invoice numbers, amounts and payment status.
What we do not collect
Amatra Care does not collect your location, your phone's contacts or photos, or advertising identifiers, and it does not contain advertising or third-party analytics.
How we use information
We use your information only to provide Amatra Care to you: to transcribe your recordings, draft your notes, updates, tasks, appointments and billing, store your approved records, create your invoices, and carry out the Google actions described below when you approve them. We do not sell your information, and we do not use it for advertising.
Amatra Care never sends an email, adds a calendar event or bills anyone without your approval. Everything it drafts waits for you to review, change and approve.
Voice recordings are deleted
A recording is kept only until you approve or discard the drafts made from it. After that, the recording and any follow-up answers you gave are deleted from our storage. A recording made to fill in a new client is deleted as soon as the form has been filled in. Invoice PDFs that are uploaded to be emailed are deleted once the email has been sent. The written transcript and the records you approved remain in your account until you delete them or ask us to.
Service providers
We use a small number of service providers to run Amatra Care. They process information only to provide their service to us.
- Supabase hosts our database, file storage and server functions in the United States.
- Deepgram turns your recordings into text and produces the voice Amatra Care speaks with. We have opted out of Deepgram's model improvement program for every request, so Deepgram does not keep or train its models on your recordings.
- Anthropic provides the Claude AI model that drafts your notes, updates, tasks and billing from your transcript. Anthropic does not train its models on information sent through its commercial API.
- Google receives the emails, calendar events and files that Amatra Care sends or creates on your behalf, but only if you connect your Google account.
We may also disclose information if the law requires it, or to protect the safety, rights or property of our users or others.
Google user data
Connecting your Google account is optional. If you connect it, Amatra Care asks Google for the following permissions and uses each one only as described here.
- Your email address is used to show you which Google account is connected.
- Send email on your behalf (gmail.send) is used to send the family updates and invoices you approve, from your own Gmail address, to the family contacts and billing contacts you have entered. Amatra Care cannot read, search or delete your email.
- View and edit events on your calendars (calendar.events) is used to add the appointments you approve to your Google Calendar, and to update or remove them when you change or cancel them in Amatra Care. Amatra Care also reads the events on your primary calendar for the current day and week so that your schedule appears in the app. Events you created yourself are shown to you but are not stored by Amatra Care.
- Google Drive files used with this app (drive.file) is used to create an Amatra Care folder with a folder for each client and to save the invoices you email there. Amatra Care can only see files and folders that it created. It cannot see anything else in your Drive.
The key Google gives Amatra Care to act for you is stored on our servers, never on your phone, and the app itself cannot read it. We store the identifiers of the calendar events and Drive files we create so that we can keep them in step with Amatra Care.
Amatra Care's use and transfer to any other app of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements. We do not use Google user data for advertising, we do not sell it, and we do not use it to develop or train artificial intelligence or machine learning models. No person at Amatra reads your Google data unless you ask us to for support, it is needed for security, or the law requires it.
You can disconnect Google at any time in Amatra Care under You, then Google, then Disconnect. This revokes Amatra Care's access at Google and deletes the key from our servers. You can also remove Amatra Care's access from your Google Account under Security, then Third-party connections. Emails already sent, events already added and files already saved stay in your Google account.
How we protect information
Information is encrypted in transit and stored with encryption at rest. Each care manager's records can be read only by that care manager's account, and the database enforces this for every request. Only the Amatra founders have administrative access to our systems.
Your choices
You can view and edit your practice, clients and records in the app. To get a copy of your information, or to delete your account and all of its information, email support@amatra.app from the email address on your account. We will complete deletion requests within 30 days.
Children
Amatra Care is a professional tool and is not intended for anyone under 18.
Changes to this policy
If we change this policy, we will post the new version on this page with a new effective date. If a change materially affects how we use your information, we will tell you in the app or by email before it takes effect.
